Prioritised fixes
  • Mailboxes are warmed up before real sending. Ramp new mailboxes slowly (warmup) for 2–4 weeks before cold volume — cold mailboxes that send a burst land in spam.
  • SPF record is set for your sending domain. Publish an SPF TXT record that authorises your sending provider — unauthenticated mail gets junked or rejected.
  • DKIM signing is enabled. Turn on DKIM with your provider and publish the public key — DKIM is the strongest authentication signal mailbox providers check.
  • DMARC policy is published. Add a DMARC TXT record (start at p=none to monitor, then move to quarantine/reject) so receivers know how to handle failures.
  • Sending volume per mailbox is capped (roughly 30–50/day). Keep per-mailbox daily volume low and split across multiple mailboxes — high per-mailbox volume is the #1 reputation killer.
  • Your list is verified (low bounce risk). Verify every address before sending. A high bounce rate tanks domain reputation fast and is hard to recover from.
  • Custom (branded) tracking domain — not the shared provider domain. Use your own CNAME tracking domain. Shared tracking domains carry other senders' reputation and get filtered.
  • Dedicated sending domain (not your primary domain). Send cold outreach from a separate domain (e.g. a .co or get-yourbrand.com) so a reputation hit never touches your primary email.
